Zoom Licensing at UD (2024)

UD offers Zoom Pro accounts to all faculty/staff and active students (i.e., students currently enrolled in an academic program), as well as other eligible groups and affiliates of the University. Upon graduation, retirement, or other separation from UD, your Zoom Pro account will be transitioned to a Zoom Basic account.

Who is being transitioned to Zoom Basic?

Vendors, non-paid affiliates, retirees, alumni, spouses, and those with the HR/SAP code of 300 will be changed to a Zoom Basic account on February 28, 2022.

Who is eligible for a Zoom Pro account?

Faculty/staff and current active students are eligible for a Zoom Pro licensed account, along with those groups listed below. Beginning February 28, 2022, all other users will be changed to a Zoom Basic account.


The following student groups are eligible for a Zoom Pro account:

  • Undergraduate students currently enrolled in classes
  • Graduate students currently enrolled in classes
  • Graduate students actively working on a thesis or dissertation
  • Students officially on leave of absence
  • Part-time students


The following faculty/staff groups are eligible for a Zoom Pro account:

Note: Additional groups such as Osher Lifelong Learning Institute (OLLI) and Lewes Lifelong Learning will also keep their Pro accounts.

How do I verify my eligibility for a Zoom Pro account?

Faculty/staff can verify their eligibility for Zoom Pro by accessing their Job Employment Data View (JED) pageand confirming their SAP code (shown under “Salary Admin. Plan”). Then, check to see if your SAP code is one of the eligible HR codes in the list above. If you can’t find your designated SAP/HR code, contact the HR manager in your department.

Students are eligible for Zoom Pro if they are enrolled in an academic program for the current or upcoming semester.

Requesting an Exception for a Pro account

If you believe you require a Zoom Pro account to conduct University business, but do not meet the criteria listed above, you may have a UD sponsor fill out this form to request an exception on your behalf. Your sponsor must be a full-time UD faculty or staff member. The sponsor should be your supervisor, or someone in your department who can authoritatively establish that you need a Zoom Pro account for University business.

What happens to your Zoom account if your student or employment status changes?

Users can update their Zoom license by manually signing out and signing back in if their official status changes. Otherwise, changes to Zoom accounts will happen automatically within 48 hours.

What happens to your Zoom account after graduation or retirement?

Upon graduation or retirement from the University (including emeriti), your Zoom account will be transitioned to a Zoom Basic account. If you believe you still require a Zoom Pro account to conduct University business, please see the section above to request an exception.

How is Zoom Basic different from Zoom Pro?

Zoom Basic retains most of the functionality of Zoom Pro including the ability to host and attend meetings (including meetings that require UD authentication), access previous cloud recordings, and record meetings locally to your computer. Zoom Basic also allows you to keep your Zoom credentials and personal settings.

What changes with Zoom Basic is that meetings you host will be limited to 40 minutes and you can no longer record to the cloud.

Keeping Zoom Pro when you graduate or retire from UD

UD alumni Zoom accounts will automatically change to Basic after graduation and retirement (including emeriti). If you are no longer conducting university business but would like to continue to have a Zoom Pro account with unlimited meeting lengths and cloud recording, you must purchase a yearly account paid directly to Zoom through their website (www.zoom.us) using a different email address. This will give you a second account with a new Personal Meeting ID.

Employee Separation from UD

When you leave the University as an employee, your UD Zoom account will no longer be accessible. (Retirees – see the section above “What happens to your Zoom account after graduation or retirement?) However, you can create a new Zoom account using a non-UD email address directly through Zoom.

Returning to UD

If you return to UD to begin another degree, start a new job at the University, or work part-time, your Zoom Pro account will be reinstated automatically when your student or HR designation changes.
